How To Invite The Room To A Meeting

To invite a room to a meeting, create a Teams meeting via Teams or your Outlook calendar. In the meeting invitation, invite the Microsoft Teams account that corresponds to the meeting room that you are in. The Microsoft Teams account associated with the room will be displayed on the device's control panel. Alternatively, this information can be ascertained by contacting the room owner.

This same process can be followed for inviting a device via Outlook calendar. It is important to ensure that there is a Microsoft Teams or Zoom meeting link attached to the meeting invite that is sent to the conferencing device's Microsoft Teams account.

Within Teams, create a new meeting. Add a meeting title and then navigate to the "Required Attendees" section of the invitation. In this field enter the Microsoft Teams account that belongs to the conferencing device in the room. Update the meeting time and date if needed and add any additional details in to the location and description fields. Finally press send or update to invite the device. If the meeting is being scheduled for the same day, it may take a moment or two for the meeting invitation to populate on the room's conferencing device.

Do not enter the Microsoft Teams account into the "Room Location" field, this will not forward the meeting invitation to the room's conferencing device.

How To Create A Meeting and Invite Participants

The device can be used to create an impromptu meeting. The device is also capable of dialing in other participants to any meeting it is apart of, depending on the permissions set by the meeting owner. It should be noted that the Teams Room device may only dial out to other UCCS members that have an Microsoft Teams account associated with the school's directory.

How To Join A Meeting

To join a meeting, tap the join button on the corresponding meeting tile. Note, there may be more than one tile present when looking at the device in your room. The device will only show meetings that are scheduled for the current day.

How to Share Content

There are a few ways to share content utilizing the Teams Room device. Sharing content can be done within a meeting, or locally with just the members in the room. In order to share content from outside of a meeting, tap the Share button on the Teams Room control panel. Then attach the provided HDMI cable to the personal device you wish to use to share content. The process is the same while inside of a meeting, though the share button will be located on the meeting control bar at the bottom of the control panel.
